Summary of Business Area


The Clinical Quality (CQ) organization is responsible for developing and executing all aspects of clinical quality strategy and operations for Blue Shield, , and providing clinical oversight of the performance of provider organizations with which we contract.


Position Summary:

The Lead Administrative Assistant supports the Senior Director of the Medicare Star Program and department managers across a variety of administrative accountabilities, including calendar and budget management, employee onboarding and travel. Uses automated office equipment such as a computer to compose, type and proofread letters, reports and other materials. Maintains alphabetical, numerical or subject filing systems. May be responsible for the preparation of reports, graphs, and presentations, conducting research and illustrating data using spreadsheet, database and graphic software. May coordinate special projects and department activities. Screens calls, takes and delivers messages, provides information to callers. Acts as an information source on organization policies and procedures.



Specific Responsibilities Include:
  • Assists the Medicare Star Department with meeting department and BSC corporate goals.
  • Uses standard office equipment (computer) to manage multiple calendars and appointments in Outlook, submit and track expenses
  • Compose, create and proofread agendas, minutes, presentations and other communications. using Microsoft Office Suite of products
  • Schedule and coordinate materials for various internal and external meetings
  • Responsible for the preparation of reports, graphs, and presentations, as well as data entry and data management using spreadsheet software.
  • Extensive travel arrangements and creating and submitting subsequent expense reports
  • Screens telephone calls and provides information to callers, conducts some filing/organization, maintains and orders office supplies
  • Prioritize tasks and requests
  • Handles on and offsite meeting/event planning
  • Develop collaborative relationships across multiple organizations
  • Find solutions to problems in independent and creative ways
  • Support a fast paced, results oriented team in a dynamic, changing environment
  • Takes on special projects to support the goals of the organization on an as-needed basis
  • Back up support to other executive/administrative assistants as needed

Qualifications:




Minimum Education &Experience Requirements:


Education:

  • High School graduate or equivalent required; Bachelors preferred


Experience:

  • Min 3-5 years of prior experience in an administrative support role or demonstrated knowledge of administrative support procedures and office equipment
  • Advanced experience in Microsoft Office products (Outlook, Word, Excel, PowerPoint)
  • Excellent written and verbal communication skills.
  • Demonstrated experience working with virtual meeting technology.
  • Demonstrated experience and strength in multi-tasking, organization and problem-solving skills.
    • Ability to prioritize tasks and requests
    • Detail and deadline-oriented.
  • Demonstrated information/documents Demonstrated experience working in a fast-paced environment
  • Demonstrated sense of urgency, initiative, responsiveness, and a proactive approach to work
