Job Description:
CJZ Enterprises o/a Home Hardware is in need of Administrative Assistant

NOC Code: 1241

Employment Terms: Permanent - Full Time

PRIMARY DUTIES AND RESPONSIBILITIES:

1. Create and update records and databases of staff, clients, suppliers and other data.
2. Prepare tendering documents, service agreements and contracts for new clients and monitor its renewal
3. Determine and establish office procedures
4. Develop and maintain computerized and manual filing systems.
5. Respond to staff, clients or suppliers’ enquiries, requests and/or concerns via phone, email or in-person
6. Escalate client concerns to Manager and follow-up on its resolution, if necessary
7. Generate and submit timely reports (accounts receivables/payables) and client invoices
8. Manage employee timesheet and payroll
9. Organize and schedule meetings and appointments.
10. Review price quotes for the procurement of equipment, parts, services, and labor for the projects.
11. Order office/equipment supplies, maintain inventory and preventive maintenance schedules
12. Perform any other administration/operation duties may be assigned on ad hoc basis.

WORKING HOURS: 7-10 hours/day, 7:30 AM- 5:30 PM, Monday to Friday, and from 9:00 AM-4:00 PM, Saturday, with 1 fixed day off on Sunday, and 1 varied day off from Monday to Saturday
WAGE/BENEFITS: $18.00/hour, Extended medical, dental and pension plan after 3 months of employment

EMPLOYMENT REQUIREMENTS:

1. Education: Completion of a one- or two-year college or other program for administrative assistants or secretaries
2. Work Experience: Minimum one year related work experience
3. Previous clerical experience will be an asset
4. Must have the ability to anticipate client needs, multitask, and change goals and direction quickly
5. Must have the ability to plan and direct office operations
6. Must have excellent decision-making skills
7. Must have excellent written and verbal communication skills in English
