Job Duties:
1. Responsible for day-to-day office administrative works addressing all incoming emails, phone calls and walk-in clients and providing them with basic treatment advice and plans.
2. General administrative duties, including collecting, organizing, and filing client files and store documents, invoicing, and faxing documents according to company policies and procedures.
3. Review the draft of office task routines and supervise the implementation of finalized office working procedures.
4. Manage the daily encountered chores in the office environment such as arranging meetings, greeting visitors/clients, and addressing them to the proper staff.
5. Corporate between client and staff to effectively arrange the visiting and treatment schedule, prepare client files before visits.
6. Perform daily administrative tasks, including monitoring the usage of office forms, supplies & equipment, and facilities, arranging a regular inspection of office facilities and safety devices, and being responsible for ordering and distributing office supplies.
7. Set up the work distribution plan and assign administrative tasks to office staff, monitor, and follow up on their progress, and provide necessary assistance to meet the deadlines.
8. Coordinate with other team members to ensure day-to-day facility operations, implement, and oversee an organized documenting system.
9. Form a comprehensive budget file every month by accruing company spending invoices including employee salary, office inventory refilling, business costs to sign contracts, and recurring office-related bills.
10. Review the proposal of restocking office inventory and ensuring the purchased item quality meets our needs, as well as monitoring the depreciation rate of office equipment.
11. Prepare monthly reports to the management in support of the companyís top-line budgeting, business performance review, and office operational assessment.

Job Requirements:
1. A Bachelorís degree in marketing, economics, business administration or a relevant field is required.
2. Minimum 2 years of work experience in office administration and a related position is required.
3. Well-developed interpersonal skills and high client service commitment.
4. Attention to detail and ability to work in a team environment with Medical and Non-Medical staff.
5. Organized and able to develop detailed plans from multi-faceted, complex problems.
