Job Description:
General Description:
This is a part time position requiring 19.5 hours of work per week and supervised solely by the Rector / Priest-in-Charge, or if there is no clergy in charge, the Wardens of the parish. The individual in this position must be able to work independently, exercise good judgment and direction, keep the Rector / Priest-in-Charge (PIC) informed, and perform the duties in a professional manner.

The parish administrator is responsible for the day-to-day business operations of the parish as directed by the supervisor, helping to ensure all activities remain centered on the parish’s articulated mission and strategic plan. The parish administrator role supports the clergy’s efforts to nurture the worship life of the parish toward a deepening of love for God, neighbor and self.

Key Functions :
1. Provide office coverage three days per week for a total of 19 hours, and 2 hours monthly for the Vestry meeting. Prepare the Sunday bulletin and other bulletins required for special feasts and observances.
2. Perform general administrative duties, and coordinate with the PIC and Wardens. While recommended due to the Covid-19 infection rate, the Parish Administrator when in the presence of others, will at all times wear a mask, observe social-distance protocols and request any persons the Administrator admits to the building to do the same.
DUTIES
Office Management
The Parish Administrator must have demonstrated office management experience, proficiency in workflow management, strong computer skills, excellent organizational skills, outstanding written and oral communication skills, and the ability to develop good interpersonal relationships. Duties include: accessing and responding to voicemail regularly and promptly and handling e-mail messages promptly and professionally. The parish administrator is responsible for providing information to callers and e-mailers in addition to directing the calls or e-mails to the appropriate person or organization.

Bulletins for Sunday Worship and Special Observances
Service Bulletins are a key element of worship at SAHC. The Parish Administrator is responsible for the preparation and printing of all Bulletins. This requires coordination with the PIC, the Music Director, various guild and ministry leaders to assemble the ministers for the Mass and other necessary content. The first draft of the bulletin must be available for the Rector / Priest-in-Charge and the Music director by the close of business each Monday. The Music Director and Rector / Priest-in-Charge should provide feedback by Wednesday morning to allow time for any additional correction. The final copy should be ready by Friday at noon. Preparation and printing of bulletins for weddings, funerals, and other services requested by individuals are also part of this job description.

Administrative Duties
 Keeping the Rector/PIC informed.
 Attending Vestry and Annual meetings for purpose of taking minutes, transcribing and disseminating them.
 Preliminary scheduling of any use of church property, weddings, baptisms, funerals or meetings pending final authorization by the supervisor (as described above).
 Obtaining and maintaining certificates of insurance from space renters.
 Preparing wedding and baptismal certificates, confirmations, and letters of transfer as needed
 Coordinating with service vendors for building and equipment maintenance and maintaining contract files (as needed); e.g., exterminators, printing and copying equipment, and organ.
 Ordering church, office, cleaning supplies after coordinating with Property Commission members /Wardens/ Rector /PIC as needed
 Coordinating building maintenance and building use (as needed);
 Inform users about building use policies, serve as the contact person for people using the building (as needed);
 Leave all bills and payment requests to treasurer upon receipt.
 Provide upon receipt for the Treasurer, receipts, reconciliations, and payment requests mailed to the office for spending on the Office/Property Account.
 Supporting the work of the various Commissions and Committees through the Rector/PIC.
 Maintain an accurate calendar of events and space usage.
 Any other duties in keeping with the general job description
