About the Position

Graham Windham's Family Foster Care program seeks a temporary Administrative Secretary to primarily support the programís administrative requirements. This role is pivotal to the program; this staff member will efficiently attend to a range of responsibilities, will look for and implement efficiencies, and will initiate new tasks and functions as needed.



Duties & Responsibilities (but not limited to):



Coordinate administrative clerical and inter-departmental communications.
Maintain the clerical components of the Department, with regard to the log books, typing, filing correspondence, and reports for the Permanency Planning Department. Complete necessary documentation and data collection in a timely manner.
Prepare and read materials for the Department. This includes, but is not limited to, the typing of administrative correspondence, management reports, and data summaries.
Process all mail for the department, handling correspondence, taking phone messages.
Greeting the public and directing them to the proper areas of service.
Manage programís office calendar and track staff schedules. Manage check requests for program events.
Follows up with repairs when necessary, ordering supplies and performing any day-to-day activities that are critical to effective department functioning.
Manage petty cash.
Support program staff by making contacts with employees and external contacts relevant to the objectives of the department.
Complete other tasks as assigned by the Program Director, and facilitates; Other projects as assigned.


Job Requirements:
Required Qualifications:

Requires High School Diploma or equivalent, Bachelorís Degree preferred; Min. 1 year experience/vocational training or a combination of both is required; The ability to type 55 wpm (accurately); Time management and organizational skills; Computer literate, familiarity with use of computers and software systems including Connections, spreadsheets, database, word processing, internet, e-mail and other systems; Knowledge of records management procedures; Excellent verbal and written communication skills; Ability to work with diverse populations; Personable and Team oriented; Independent thinker; Quantitative/mathematical ability (addition, subtraction, multiplication, division, standard measurements).
