JOB RESPONSIBILITIES:
● Lead and guide administrative, finance, records management, purchasing, and security staff, ensuring smooth delivery of operational support across all departments
● Recruit, train, and supervise administrative and warehouse personnel to ensure effective workforce performance
● Develop, monitor, and control budgets for projects, construction contracts, equipment, and specialized materials
● Manage vendor relationships, prepare and issue purchase orders, and oversee procurement to support project needs
● Supervise the preparation of proposals and responses to RFPs, ensuring timely submission of required project and compliance documentation
● Direct the production and distribution of technical materials, including shop drawings and submittal packages, for client and consultant review
● Evaluate the effectiveness of administrative systems and prepare reports, recommendations, and presentations for senior management
● Ensure accurate documentation, storage, and archiving project records in line with corporate and industry standards
● Coordinate logistics for the movement of custom water feature components to job sites, liaise with clients to confirm receipt and resolve delivery issues
● Select and manage third-party transportation and logistics services, negotiating service levels and managing allocated budgets
● May be required to assist engineers with water feature projects, supporting initial design concepts and technical coordination to ensure smooth integration between design and construction phases.

Job Requirements:
QUALIFICATIONS:
● Bachelor’s degree, college diploma or an equivalent combination of education and experience in business administration or a related field
● Minimum of five years’ experience in management or supervisory role
● Proficiency with Microsoft and standard office software applications
● Ability to prepare clear, accurate and professional documentation, experience with AutoCAD or other digital design tools is an asset
● Strong organizational, communication, and interpersonal skills, with the ability to prioritize tasks and meet tight deadlines
● Knowledge of inventory management processes preferred
● Previous experience in a warehouse or construction support setting is an advantage
