Provide senior level administrative support, screening and directing incoming calls, receiving and prioritizing mail, and dealing with highly sensitive issues within the organization. Create and produce monthly employee and quarterly donor newsletters, brochures, flyers & special handouts. Excellent organizational skills and ability to establish priorities, objectives and deadlines with minimal supervision. Serve as a liaison between the Executives, Sr. Management and the 20-member board of directors. Schedule itineraries, travel and or transportation arrangements, meetings, committee events, and catering for such events, distribute requested materials for the meetings. Detail-oriented, multi-tasking, energetic, adept at succeeding in fast-paced environment. Accurately enter, update and monitor information and data within the agency. Maintain departmental calendars of conference and training rooms. Management of corporate records. Prepare and process a wide variety of correspondence, memoranda, reports, multiple letter mailings, and documentation in accordance with deadlines and established policies and procedures. Web based researching for strategic information, import documents and data for management staff. Maintain adequate office supplies for use by staff and conducted periodic inventory checks. Responsible for placing and processing purchase orders, for supplies, equipment purchases, and maintenance agreements. Receive and ensure accuracy of all deliveries and materials. Ensure copy and fax machine(s) were supplied with paper, toner, staples, etc. Assist with the maintenance of all office machinery, Konica-Minolta, Pitney Bowes, Xerox, HP, etc. If equipment malfunctions, troubleshoot as necessary and if unresolved, place service call. Fund Raising and organization of all employee events, such as holiday parties, picnics, etc. Including award process by maintaining award database, printing announcements/invitations, creating certificates, and ordering plaques. Generated over $60,000 in in-kind donations in 2006 and 2007.
