Job Description:
We are planning on expanding our construction material trading and distribution business between Asian countries and North America. This current and future business opportunity creates room to hire an ambitious Administration Officer who will be a critical team member and will perform a wide variety of specialized and administrative functions. The top candidate will possess strong organizational, planning and analytical skills, and a solid history of getting results in a team environment and independently. Those who hold strong affiliations with Asian local communities and with a solid background on the Asian culture will be a great asset. Part of the job is to engage in aspects of managing the staff, such as recruit, and train salesperson to meet the prospective Asian customers’ preferences and expectations.
Job Duties and Responsibilities:
• Carry out special projects for the new business plans, which may include create and maintain various supporting policies and procedures for the sales team to develop oversea new market
• Coordinate with new business partners/clients in Asian countries, including visiting schedules and arrangement, equipment supply, daily order fulfillment etc
• Understand new developed regions’ accounting and tax system, legislation and policies, conduct accounting and ordering system “plug in” from both parties; help to avoid potential financial risk for the company; prepare report to conduct analysis of budgeting of administration and operations
• Carry out clerical and administrative activities
• Establish office work procedures, maintain organization of staff by establishing a recruiting, testing, and interviewing program, and selecting, orienting, supervising and training employees
• Schedule and control staff’s work hours, including workdays, starting and stopping time, lunches, and breaks. Authorize overtime and keep accurate records
• Coordinate with new region’s government authorities to prepare related document, material, certificate when the company set up a new distribution centre in Asia region
• Develop and maintain internal systems for calendar, project and deadline management while working cross functionally between departments
• Follow-up on any invoice/payment inquiries
• Manage office inventory and supplies
• Maintain and update company databases, and records

Job Requirements:
Required Experience and Skills
• A completion of a one- or two-year college or other program for administrative assistants or secretaries or previous clerical experience is required
• Minimum 5 years of practical administrative experience with increasing levels of responsibilities
• Solid knowledge of office procedures
• Quick learner and ability to understand complex business issues
• Ability to adapt to a continually changing business and work environment
• Extremely dedicated with a desire to stretch beyond the task list to support the team
• Excellent attention to detail
• Excellent written and verbal communication skills
• Know how to relate to people in a variety of situations, be highly trustworthy, discreet, and use good judgment
• Comfortable in both a leadership and team-player role, manages team members, leads assistant meetings and supervises when needed
• Service oriented and outstanding in planning and organizing events
• Experience in communicating and interacting with Asian locals and develop and maintain business relationships with them
• Understanding of Asian culture, particularly Asian customers’ preferences and expectations in regard to import and export business
• Knowledge of Chinese is a strong asset
