The Facilities Manager will be responsible for daily facilities management of Greenpeace’s offices in the Bay Area, including the reception area, mail/production room, office equipment, supplies, and facilities. This position manages facilities related vendor contracts, processes related invoicing, maintains inventory control, processes office supply orders, and manages other projects as assigned by the National Facilities Director

Job Requirements:
This role will:

Supervise the facilities assistant in the Oakland office and all office services.
Manage the reception area, including appearance, security and the staff person assigned to greet visitors and answer main phone number.
Assist with payment of invoices related to the Oakland office.
Oversee the office’s mailing/production capabilities, including all incoming and outgoing mail and packages; large copying and mailing projects; and weekly international and domestic intra-office mailings.
Oversee regular and special cleaning services to ensure the longevity of the materials and an attractive appearance.
Manage and maintain office equipment, including photocopiers, fax machines, and phones. Ensure that appropriate training is provided to staff regarding equipment usage and care.
Coordinate off-site storage, including regular deliveries to and retrieval from storage facilities. Develop policies and protocols for offsite storage.
Manage office supplies, including inventory, purchasing and ensuring that basic supplies are available on site. Develop protocols for ordering, including appropriate authorization and cost allocations to appropriate cost center.
Coordinate with vendors to ensure effective provision of services that pertain to this job description. Review invoices for appropriateness of charges, codes and authorization, and resolve problems related to such. Work with National Facilities Director to review all SF facilities-related vendors annually to ensure cost and service effectiveness.
Assist in the orientation of new Oakland staff on administrative policies and procedures. Coordinate, manage and plan all employees/teams moves, new hires setups, clean out desks of terminated employees and conference rooms’ setups.
Manage security access for offices (create, deletes access badges and assign special access rights).
Support various events (office holiday events, summer activities, farewell parties, team building activities etc.) to develop a strong office culture.
Other duties as assigned by the National Facilities Director.
Minimum requirements include:

5 years experience as facilities manager, preferably with a nonprofit organization. Considerable knowledge of the methods, material and equipment used in the maintenance of facilities
Demonstrated knowledge of ALL building trades associated with Facilities Maintenance including the following: fire protection systems, fire protection monitoring systems, security systems, basic Audi/Visual
Proven ability to manage multiple tasks.
Working knowledge of office equipment (e.g., copiers and printers) and the ability to perform basic maintenance of this equipment.
Proven ability to manage relationships with all vendors and contractors
Experience in logistic planning/coordinating, including deliveries and inventory report
