Job Description:

This Physician Recruitment Concierge Coordinator assists the Physician Recruitment team with the logistics of the recruitment process to result in a world class placement of physician candidates. The Physician Recruitment Concierge Coordinator is a liaison between departments, the practices, and candidates . The role is responsible for coordination of employment activities which includes managing relationships with third party vendors, credentialing, privileges, employee health, etc. to ensure a smooth candidate process which includes support of full cycle recruitment, managing offer letters, and on-boarding of Physician. This role works closely with departments and candidates to ensure all is complete and accurate.

Primary Functions



  • Create and coordinate consistent and complex physician candidate and spouse/significant other interview itineraries while maintaining confidentiality. This may include but is not limited to arranging for travel, lodging, meals, transportation, city tours, meeting with Realtor's and schools.

  • Establish and maintain on-going relationships with departments, credentialing, privileges, security, employee health and other outside vendors to anticipate and resolve potential problems.

  • Develops and maintains an effective working knowledge of physician employment agreements, employment process, and benefits to answer candidate questions as needed.

  • Assists with candidate reimbursement process for incidental expenses incurred by candidate or spouse/significant other.

  • Work directly with departments on completing the credentialing, and contacting the Medical Staff Office for privileges.

  • Coordinates with Physician leadership and hiring manager to ensure a successful on-boarding experience, which may include relocation services.

  • Maintain a physician records in the which can be utilize for future recruitment.

  • Coordinate with departments common recruitment activities which includes advertising recommendation/placement, alternative candidate sourcing methods (i.e. mailings, email campaigns, social media, etc.), spouse/significant other placement and various other tasks.

  • Posts positions in ATS and ensures candidates have applied and go through process.

  • Develop and improve upon processes, procedures, policies and techniques to recruit physicians. Maintains up to date knowledge and compliance with federal and state fair employment laws and guidelines.

  • Manage electronic and hard copy records associated with faculty recruitment activities, to include resumes, offer letters and recruitment reports.

  • Verify candidate physician qualifications and credentials for each physician specialty.

  • Assist in the coordination of special projects as needed.

Minimum Required Education: Bachelor's degree

Minimum Required Experience: 1 year

Preferred Experience: Coordination and administrative experience, human resources or faculty affairs experience

Possesses critical thinking skills. Communicates orally and in writing clearly and logically within all levels of the organization. Excellent customer service skills.
