Job Description:

POSITION SUMMARY


Responsible for the administration of payroll, employee benefits, and HR / payroll compliance reporting.



Other duties may be assigned.



PAYROLL



  • Responsible for the preparation and processing of semi-monthly payroll for over 100 employees; review and ensure accuracy of approved timesheets; track and deduct all garnishments and other special payroll deductions

  • Responsible for the coordination efforts between payroll, human resources, budget and other departments to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports, e.g. overtime, leave balances, and head count, and reports)

  • Establish/maintain employee payroll records; ensure that employee changes are entered correctly and made on a timely basis; review changes for proper authorization and adherence to compliance with federal/state/local regulations

  • Preparing batches and files for release, including related tax deposits, W2 reconciliation and electronic submission

  • Maintain compliant I-9 files


BENEFITS



  • Assist in the pre-employment and onboarding process for all new hires including review of benefits package, training on benefits enrollment, and attendance tracking

  • Facilitate annual open enrollment process with employees and carriers

  • Maintain a comprehensive knowledge of Family Medical Leave Act (FMLA) and related laws to assist in leave process

  • Maintain a high degree of confidentiality in accordance with state and federal laws

  • Assist accounting team with month-end reports and year-end audit schedules

  • Administer various employee benefits programs, such as group health, flexible spending accounts, dental and vision, accident and disability, life insurance, 401(k), and wellness benefits

  • Conduct benefits orientations and explain benefits self-enrollment system

  • Maintain employee benefits filing systems and ensure benefits changes are entered appropriately in payroll system for payroll deduction

  • Assist employees with health, dental, life and other related benefit claims

  • Verify the calculation of the monthly premium statements for all group insurance policies and maintain statistical data relative to premiums, claims and costs. Resolve administrative problems with the carrier representatives

  • Preparing batches and files for release for 1095-C reconciliation and electronic submission

  • Administer COBRA

  • Review and respond to unemployment claims with appropriate documentation. Review monthly unemployment statements

  • Assist in obtaining statistics and information in renewal process of any health, life and retirement plans that benefit the company

  • Prepare and set up meetings designed to help employees obtain information and understand company benefits and other related incentive programs. Ensure distribution of required employee notices

  • Assist in completing benefits reporting requirements

  • Other duties as assigned



SUPERVISORY RESPONSIBILITIES


This position does not have supervisory responsibilities, but is expected to mentor new team members and lower level positions. Informs Supervisor/Manager of all matters that may give rise to an E&O claim



Requirements


MINIMUM QUALIFICATIONS



Bachelor's degree (B. A.) from four-year college or university; or four to six years related experience and/or training; or equivalent combination of education and experience.

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
