Skill Requirements:

Education: Secondary School

Experience: 6 months to 1 year of clerical experience is required.

Languages: English

Specific Skills:
• Prepare, key in, edit and proofread correspondence, invoices, brochures, publications, reports and related material from handwritten copy and as per manager’s verbal dictation
• Regulate the incoming regular mail and e-mails and other materials to co-ordinate the flow of information within the office and clinic
• Initiate and maintain confidential files and records
• Set up and maintain manual and computerized information filing systems
• Schedule and confirm appointments and meetings of management team
• Schedule and confirm patient appointments and receive and communicate messages for staff and patients
• Compile data, statistics and other information to support research activities on a daily, weekly, monthly and yearly basis
• Greet visitors, ascertain nature of business and direct visitors to appropriate person
• Order office supplies and maintain inventory
• Answer telephone and electronic enquiries and relay telephone calls and messages
• Determine and establish office procedures
• Record and prepare minutes of meetings
• Communicate with external organizations like insurance agencies and other departments
• Train new office staff in procedures and in use of current software

Essential Skills: Ability to multitask, Excellent oral and written communication, Flexibility, Client focus, Reliability, Organized, Team player

Knowledge of Equipment: Fax, Photocopier, Computer, Printer, Scanner

Knowledge of Software: Electronic scheduler, MS Excel, AS Access, MS Office, MS Word, MS Windows
