Job Description:

The Donor Relations Coordinator provides administrative support and conducts routine data clean-ups for the Department of Portfolio and Relationship Optimization. He/she has a broad understanding of the core functions of the team and assists the Executive Director with managing the administrative functions strategically and in alignment with the broader vision for the team.

Essential Duties:

The Donor Relations Coordinator will engage in the following activities and tasks:

  • Manage the calendars of the team's leadership, assist all team members with setting up meetings with development officers. Coordinate all team meetings, including distributing agendas, setting up and launching audio/video needs and coordinate set-up and clean-up.

  • Set-up and coordinate meetings with internal and external parties as needed. Prepare all meeting materials, including reminders, itineraries, agendas and audio/visual needs.

  • Coordinate the onboarding activities for all new team members, maintaining an onboarding check-list and ensuring the space and equipment is set-up for a start date. Work directly with the hiring managers to ensure onboarding processes stay on track.

  • Attend all team and leadership meetings and document key takeaways, including action items and dates. Ensure meeting minutes and action items are communicated to team leadership and work with the Executive Director to coordinate the follow-up.

  • Manage the department budget, including all subscriptions and purchases. Create expense reports for team members. Maintain a master list of all usernames and accounts.

  • Execute daily, weekly and monthly data clean-ups in the development database, working with the Portfolio Optimization Analysts to communicate information to development officers for follow-up.

  • Manage the electronic filing system for the department, in particular files needed for the onboarding and training of new development officers and support staff.

  • Conduct individual prospect research as needed to acquire biographic details to complete prospect records.

  • Coordinate specific departmental workflows, including research requests. Provide reporting on trends and work output.

  • Perform other tasks as assigned by the Executive Director.


Bachelor's degree with one year business office experience required. Equivalent combinations of education/experience may be considered. Must be able to work independently and successfully to complete projects and to resolve problems and be able to ask questions when more information or details are needed to complete tasks. Excellent command of the English language, both oral and written with a high level of creativity, attention to details and superior customer service skills. Proficient in Microsoft Office applications (i.e. Microsoft Word, Excel, and Access). Must have initiative mixed with good, sound judgment and excellent communication skills. Must be able to handle multiple projects simultaneously and to work in a dynamic environment. Must have strong planning, organization and follow-up skills.
