Job Description:

The Center for Global Engagement (CGE) is seeking candidates for Professional Services Spec. 4/ Budget, Office and International Support Specialist role.

The Mission of CGE is to engage with the TCNJ community and international stakeholders to provide personalized services and transformative global engagement experiences. CGE develops and manages TCNJs existing portfolio of international institutional and organizational partners that facilitate inbound and outbound student, staff and faculty mobility. CGE provides professional advice and personalized support services to those students, faculty and staff involved in global engagement. CGE administers systems and processes that directly support TCNJ global engagement programs and ensures compliance with US federal SEVIS and other government regulations. CGE partners with other relevant offices across campus to mitigate risk and manage crisis for global engagement programs.

The Budget, Office and International Support Specialist works with the Executive Director for Global Engagement on establishing, monitoring, and reconciling the budget and ensuring the timely flow of all financial documents, payments and reimbursements for global engagement programs. This individual works with CGE team members on tracking MOU, MOA and contract approval processes for these programs. As the office specialist, this individual coordinates CGE events, monitors supplies and ensures office coverage. This individual also complements the efforts of the Assistant Director of Exchange Programs and International Services in providing general support services for international students including delivery of orientation and serving as DSO and ARO on routine compliance issues. This individual is also responsible for the pre-arrival exchange application process, communications between in-bound exchange students and TCNJ units for admission, and providing supports to in-bound exchange students throughout their sojourn at TCNJ.

The successful candidate will have the following:



  • Knowledge about and sensitivity to the linguistics and intercultural challenges faced by exchange students

  • Capacity to utilize data management systems including Excel, Google, PeopleSoft, Oracle & TerraDotta.

  • Capacity to be attentive to details in financial and contractual documents and to track such documents through approval processes.

  • Experience with budget operations and financial processes in a complex organization and/or in a state regulated operations.


Main Responsibilities:



  • Complements the efforts of the Assistant Director of International Services in providing orientation and support services for international students. Serves as DSO and ARO on routine compliance issues.

  • Responsible for the pre-arrival exchange application process and communications between in-bound exchange students and TCNJ units to arrange for admission, enrollment and registration in coursework.

  • Supports exchange students throughout their sojourn including collaboration on managing the International Living Learning Community.

  • Works closely with office of Finance & Business, and Executive Director to ensure timely payments and reimbursements. Prepares POs, check requests, journal entries, reallocation forms and procurement card reconciliation for CGE department, study centers, and faculty led programs.

  • Works with Executive Director to maintain updated records and ensure timely flow of all CGE financial and contractual information including: board waivers, direct billing agreements, flat rate student billing forms, contracts with faculty led providers, and MOUs with institutional partners.

  • Assists in preparation of budgets, monitors expenditures, initiates reallocations, and reconciles accounts

  • Works with CGE team, Student accounts, & Records and Registration to ensure creation of courses in PAWS and timely registration and billing of education abroad.

  • Manages office supplies and ordering, coordinates activities with other staff members and students for office events and ensures the smooth operations of the Center for Global Engagement


Required Qualifications:



  • At least one year of professional experience in an institution of higher education and/or other field that is directly related to the functions of this position.

  • Bachelor's degree from an accredited college or university.

  • Permanent residency or U.S. citizenship in compliance with Department of Homeland Security.


Preferred Qualifications:



  • Experience as an international student advisor and general working knowledge of international programs.

  • Experience with Oracle, People Soft and TerraDotta and TCNJ financial and contractual operations.

  • Experience studying or working in another country and/or hosting international students and awareness of a language other than English.
