Project Ready Chief of Staff

Project Ready is an organization that will provide the Newark community with a platform to engage in actions that will secure and protect high quality education. We believe Newark is at a critical moment, where we have regained local control of our schools. If weíre going to continue to move forward as a city, we need families engaged in decision-making when it comes to our schools.
The Chief of Staff (CoS) will have overall responsibility for Project Readyís city-wide internal operations and administration. S/he will serve as a true partner to the Executive Director, sharing the organizationís vision and championing its efforts to build capacity and increase impact by ensuring internal efficiency and operational excellence, encouraging linkages and consistency across the organization, and promoting a culture of collaboration at all times. In this way, the CoS will be a critical leader ensuring that Project Ready has the capacity and the support to fulfill its mission.

A newly created position, the CoS will have direct oversight of the following functions:
Finance & Human Resources
Program Planning & Execution
General Admin & Data Reporting
Brand Building
Responsibilities
Direct Support of the Executive Director
Establish a true partnership with the Executive Director and be able to translate her vision into a clearly articulated operational strategy that is fully aligned with, and supportive of, Project Readyís strategic goals.
Setting the leaderís strategic priorities: Partnering with ED to identify the areas where they must direct their focus and identifying metrics for success. Revisiting regularly and evaluating progress.
Strategically managing a EDís time: working with virtual assistant, looking at long term travel calendar, evaluating opportunities and determining fit with priorities.
Meeting preparation and follow up: reviewing upcoming meetings for the week to ensure the ED has all of the information needed to be as productive as possible and sending out agendas or documents to meeting attendees as necessary.
Reviewing Internal and External Communications: drafting organizationís newsletters, reports, pitch decks, speeches or presentations for the ED.
Monitoring information flow: Sometimes acting as a gatekeeper, ensuring the EDís involvement in a project or decision-making process at the right moment.

Meeting & Event Preparation
Managing the meeting cadence for the leadership team, ensuring materials are sent in advance, time is well spent, and objectives are achieved.
Planning and leading company retreats, stepbacks, and other special events.



Operational Support
Oversee daily operations through collaboration with senior management and department leaders, performing an array of administrative tasks from managing calendars, generating correspondence, maintaining hard copy and/or electronic files, planning and coordinating annual meetings, and scheduling
Serve as a subject matter expert, handling inquiries and develop action plans to address them, and assisting with the preparation and dissemination of communications
Partnering with NJCF Director of Operations to maintain and implement all the appropriate policies, practices and systems required to optimize the use of its financial resources.

Project Management
Overseeing large, often cross-functional organization-wide projects or initiatives.
Bring together multiple stakeholders and help drive decisions.
Researching, benchmarking, analyzing data, and making recommendations.
Creating systems and processes to streamline operations.

Strategic Planning
Partnering with ED to develop annual strategic planning for Project Ready.
Creating & updating dashboards for reviewing key performance indicators.

Hiring and Management
Leading hiring processes: drafting & posting job descriptions, outlining an interview process, and screening candidates for roles reporting into the ED.
ED team management: hires and directly manages others in the office of the ED. This may include executive assistants, special projects managers, speech writers, or others.
