Job Description:


Job Title: Destination Services Coordinator
Department: Customer Support
Purpose of the job:
To coordinate and respond to all destination service related matters.

Duties:



  • Sort and manage incoming requests from agents and members in the Destination Services inbox for domestic and Alaska shipments.

  • Request and confirm delivery out of SIT:

    • Verify delivery information and requested delivery date with member, then notate Utopia.

    • Contact DA and submit requested delivery out date.

    • Confirm date given by the DA with the member via phone and email.

    • Send an email confirmation to the DA showing date, delivery information and person you spoke with to confirm with information.

    • Update Utopia Events tab with date under "Dest SIT Out"

    • Update Utopia notes with prefix SITOUTCONF:

    • Update EasyDPS Actions tab #13 and #14



  • Request and confirm partial delivery out of SIT, if applicable:

    • Have member complete the Partial Delivery Out form listing item #'s being requested

    • Submit Partial Delivery Out form to the DA listing the item #'s being requested

    • Submit preapproval for extra labor in DPS for sorting items for partial delivery if necessary

    • Follow up with base on pending extra labor preapproval in DPS

    • Once preapproval is approved, confirm a date for partial delivery with the DA and member via phone and email.

    • Update Utopia Events tab with date under "Partial Delivery Date"

    • Update Utopia notes with prefix PDSITOUTCONF:



  • Request and confirm long delivery out of SIT, if applicable:

    • Calculate the zip3 mileage and submit preapproval for long delivery in DPS.

    • Inform member to contact the base to notify them of the request for long delivery and have them review preapproval.

    • Once preapproval is approved, contact the DA and request for delivery out of SIT.

    • Confirm date given by the DA with the member via phone and email.

    • Send an email confirmation to the DA showing date, delivery information and person you spoke with to confirm with information.

    • Update Utopia Events tab with date under "Dest SIT Out"

    • If the DA is unable to haul to the new location, notify TMM Ops and a /2 will be created with a new hauler.

    • Update Utopia notes with prefix LDSITOUTCONF:



  • Request and confirm debris removal with the DA or a local agent, if applicable.

    • Send request for debris pick up to DA or local agent.

    • Confirm service date given by the DA or local agent for debris pickup with the member via phone and email.

    • Send an email confirmation to the DA showings service date and person you spoke with to confirm with information.

    • Update Utopia notes with prefix DEBRISPU: and list the date for service



  • Request unpacking with the DA or a local agent on direct delivery shipments, if applicable.

    • Coordinate unpacking date with local agent and member.

    • Update Utopia notes with prefix UNPACK:





  • Manage daily reports, including:



  • Long Delivery/Mini Storage/ Bulky Report

  • Updating Direct Delivery Addresses

  • SIT Reconfirmations

  • EasyDPS Exceptions



  • Notify the DA of reweigh requests and update UT as necessary.



  • Contact the base regarding pending preapprovals-Update Billing spreadsheets as necessary

  • Manage Clearing Departments delivery out of SIT requests.

  • Contact members regarding their SIT extension requests and inform them of the proper procedures.

  • When a SIT extension is issued, forward information to the DA and Billing Dept.

  • When a conversion is issued, forward information to the DA and Billing Dept.

  • Attend and participate in all team meetings.

  • Other projects and duties as necessary.




Skills/Qualifications:



  • High school diploma with related customer service or office experience.

  • Ability to multi-task and prioritize work load.

  • Ability to work in a fast paced and challenging environment.

  • Ability to handle difficult customers and situations and be able to solve problems.

  • Pleasant and professional phone voice.

  • Professional written and verbal communication skills.

  • Knowledge of all Microsoft Office Programs.

  • Ability to learn all internal computer programs.

  • Willingness to take on additional projects/workload and maintain good synergy within the team environment.

  • Ability to adapt and learn in a changing environment.
