Job Description:

At CWT, our Meetings & Events team is looking to hire a Reconciliation Specialist. This role will be located at a client onsite in Arden Hills, MN.

Meeting Payment Processing



  • Facilitate the PO process, internal procurement check point for all Purchase Orders and Change Orders.

  • Facilitate and reconcile payments.

  • Follow up on outstanding payments.

  • Prepare instructional communication to clients on invoice processing.

  • Enter all payment and vendor details into centralized database.



Meeting Budget Review



  • Audit the meeting budget, actual and variance data.


  • Audit meeting expenses to contractual terms and negotiated terms.


  • Audit the hotel, ground, off-site venue and other suppliers' invoices as applicable.


  • Review all change orders and supporting documentation.


  • Final program reconciliation.



Overall Processes



  • Assist in new vendor set up.


  • Monitor use of cancellation fees and clauses.


  • Prepare and input required information into data repository as needed.

  • Partners with Program Management on monthly expenses and proforma.


  • Document and report compliance breaches.


  • SME on client payment processes


  • Prepares for and participates in audits performed by client or their designated supplier.




Experience & education:



  • An equivalent combination of education and experience may be considered.


  • Bachelor's degree in related field.


  • Minimum 2-5 years of current relative financial controls experience required within the meetings industry or related field.


  • Meeting/Event management experience.


Knowledge, skills and abilities (KSAs)



  • Computer proficiency in Microsoft Office Suite.

  • Strong financial acumen including reviews, audits, and reconciliation.

  • Ability to build and maintain strong business relationships with internal/external customers.

  • Strong multi-tasker who works well under pressure.

  • Ability to assist/support/educate colleagues with finance and process questions.

  • Exceptional organizational skills and detail oriented.

  • Ability to travel as necessary.

  • Excellent verbal and written communication skills.
