Job Summary



  • Our Client, a human health care pharmaceutical company, is seeking an Executive Assistant - Clinical Quality Assurance possessing a high school diploma or Associates Degree and 4-6 + years of advanced administrative/coordination experience required, preferably in pharmaceutical industry

  • This role is supporting the Vice President of Global Clinical Quality Assurance and Executive Director of Clinical Quality Assurance (CQA), and the entire US-based CQA group

  • The role is considered Executive level admin and can also be referred to as a CQA Coordinator to support CQA activities


Responsibilities



  • Handles confidential matters requiring discretion and judgment; take initiative to follow-up on relevant issues and informs VP/Executive Director of status

  • Schedule and coordinate meetings, maintain calendars, arrange video/audio conference, place online catering orders and arrange luncheons upon request.

  • Coordinate travel arrangement, including executive level visitors from the home office and other regions. Research travel options via company's travel system and arrange both global and domestic travel arrangements (i.e. car service, train/air/hotel). Assist with passport/visa requirements for international travel

  • Administrative management for execution of Master Service Agreement (MSAs), Statements of Work (SOWs), contracts, and amendments. Responsible for the routing, tracking, and processing of legal documents pertaining to services contracts

  • Serve as a liaison for the department in the resolution of day-to-day administrative issues

  • Enter purchase orders into SRM and process invoices and reconciliation. Submit monthly Purchasing-card statements

  • Paper and electronic file management, electronic expense report processing, and ordering of office supplies

  • Format information into polished Microsoft PowerPoint slide presentations

  • Update and maintain department Microsoft Excel spreadsheets

  • Assemble monthly activity reports and review monthly FTE reports for completion, as directed

  • Provides coordination support for the Global Clinical Quality Assurance group as assigned


Qualifications
Education



  • A minimum of a High School diploma is required; an Associate's Degree preferred.


Experience



  • 4-6 + years of advanced administrative/coordination experience required, preferably in pharmaceutical industry


Skills



  • Must have strong organizational skills and excellent judgment and reasoning abilities

  • Individual must be customer and employee focused, able to multi-task, work under minimal supervision, and demonstrate resiliency and high productivity in a fast paced environment

  • Must have proficient computer skills with productivity tools, portal technology, Lotus Notes/Outlook, and Microsoft Office programs (Word, Excel, PowerPoint)

  • Must have excellent verbal and written communication skills, exceptional interpersonal skills and ability to work cooperatively and collaboratively with others

  • Prior experience handling sensitive and confidential information and documents is required.

  • Must be able to work in a demanding fast paced environment and provide stellar customer service.
