Job Description:
The Role:

We’re hiring a high-performing and experienced Administrative Manager to oversee our Vancouver office operations. This is a full-time role, reporting to the Director of Finance & Operations, and working with the CEO, Head of Client Services, and other staff members as needed.

This role is the first point of contact for general business inquiries. It serves as the backbone of our office, helping our team achieve operational excellence. The Administrative Manager will greet guests, ensure that our workplace is efficient and presentable, keep supplies stocked, direct and schedule staff, oversee marketing, and oversee bookkeeping tasks. Beyond the role’s core tasks, they will flex to support evolving company needs.

Responsibilities:
• Plan and coordinate administrative procedures and systems and devising ways to streamline processes
• Supervise administrative positions in preparing analyses and reports in production performance, accounts payable, accounts receivable, payroll, inventory, month end closing as scheduled or requested on a daily, weekly, and monthly basis.
• Create or modify programs and reports to improve efficiencies in various administrative tasks. Implement new procedures as required by corporate.
• Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
• Organize and supervise other office activities (recycling, renovations, event planning etc.)
• Oversee marketing activities, contracts, and
• Recruiting and training personnel and allocate responsibilities and office space. Develop subordinates through education, training, and teamwork.
• Build and maintain productive employee relationships, driving employee satisfaction. Provide direction, training, and development as needed. Provide coaching, counseling, or discipline as needed. Work with HR to address employee concerns and issues.
• Identify, propose, and implement capital projects to improve operational performance.
• Assess staff performance and provide coaching and guidance to ensure maximum efficiency.


Job Requirements:
• Proven experience as administration manager with several years of management experience
• BSc/BA or Diploma in business administration or related field
• In-depth understanding of office management procedures and departmental policies
• Proficient in MS Office
• An analytical mind with problem-solving skills
• Excellent organizational and multitasking abilities
• A team player with leadership skills
