Job Description:

Summary: Manage the President's office and schedule to assure that both internal and external accountabilities and responsibilities are met and projects move forward in a timely manner.

The incumbent will be responsible for the total administrative support of the Regional President - North America, including schedule management, correspondence, report preparation, expse management, contract management, meeting management, event scheduling and management, special projects as required and all other duties generally related to an executive administrative support role.


  • Serve as a gatekeeper to the President. Review, prioritize, respond to or direct all mail, e-mail, telephone calls and visitors for the President. Use independent judgment and problem solving to respond and/or take appropriate action on requests not requiring the President's personal attention.

  • Manage both professional and personal calendars for the President; tracking deliverables and commitments of the President and his/her direct reports and following up to ensure completion.

  • Assist in maintenance of PDA and maintenance and organization of digital records.

  • Compose routine and advanced correspondence including letters, memoranda and reports.

  • Set-up meeting and conferences.

    • Prepare and send out meeting notices, agenda and relevant meeting materials and arrange location, food and room set-up with building facilities.

    • Prepare teleconferencing, video conferencing and audio-visual equipment for presenters.

    • Attend and record minutes, track attendance.

    • Transcribe notes and distribute them to all appropriate parties.

  • Take the lead in the coordination and planning of specific McCain related events and projects including but not limited to; town hall meetings, plant tours, employee celebrations, etc.

  • Prepare confidential reports, communications and documents for the President as requested using MS Office.

  • Completes special and sometimes complex projects and assignments as requested by the President.

  • Establish procedures and processes to ensure the smooth operation of the President's office and maintain President files and records in an orderly and efficient manner including corporate records, personnel files and other confidential files.

  • Make President's travel arrangements, including accommodations, meeting rooms, transportation, maps to locations, contact details for clients, hotels, meeting rooms, etc.. Prepare and submit expense reports.

  • Order and maintain appropriate office supplies.

  • Meet regularly with President to review weekly plans; discuss and anticipate necessary documents, files, and other administrative support.

  • Work closely with all executive assistants and lead the group to facilitate effective administrative support at the Lisle office

  • Assist with some personal errands and projects.

  • Will assume other duties and responsibilities to support the President as needed or required.

Job Requirements:

  • 10+ years secretarial/administrative experience, including 5+ years as an executive assistant to the President or CEO in a mid to large sized company.

  • PC Proficiency in Microsoft Word, Excel, PowerPoint, Outlook and other Windows applications.

  • Superior ability to multi-task and effectively deal with the ambiguity of often competing priorities while maintaining unwavering attention to details. Able to bring tasks to conclusion in a timely fashion.

  • A must in this position is the ability to be flexible, negotiate ever-changing priorities and to quickly and accurately determine the difference between "URGENT" and "IMPORTANT" tasks.

  • Problem solving skills are essential.

  • Ability to make sound business decisions in a fast paced work environment with many demands.

  • Must be comfortable working alternative hours and being available as a resource seven days a week.

  • Must have professional appearance and demeanor.

  • Excellent verbal and written communication skills.

  • Exceptional interpersonal and relationship building skills; ability to develop professional working relationships; ability to communicate well with all members of staff and general public

  • Ability to act with discretion and maintain confidentiality
